How to Choose the Right Hotshot Truck for Your Shipment
A practical way to give dispatch the details needed to match urgent freight with the right equipment.
The fastest truck is not automatically the right truck. A successful Hotshot move starts by matching the freight, loading method, route, delivery site, and deadline to equipment that can handle the complete job.
Five details determine the equipment plan
Dispatch starts with the freight itself, but equipment selection also depends on how the shipment will be loaded, where it is going, how quickly it must arrive, and what the pickup or delivery facility requires.
- Freight profile.Piece count, dimensions, weight, commodity, packaging, and value.
- Loading method.Forklift, crane, dock, ground loading, side loading, or another method.
- Delivery conditions.Dock height, jobsite access, space limitations, receiving hours, and unloading plan.
- Route and distance.Local, regional, or nationwide movement, including any route or permit considerations.
- Service requirements.Deadline, appointments, tracking, secure-site credentials, PPE, HAZMAT, tarping, or special handling.
Exact dimensions and weight matter
“One pallet” is not enough information to select a truck. The same piece count can represent a compact shipment that fits inside a van or a long, tall, or heavy item that requires open-deck equipment. Provide the exact length, width, height, and weight of every piece.
Weight distribution can matter as much as total weight. A single concentrated piece may require a different trailer or loading plan than the same weight spread across several pallets.
Common Hotshot equipment categories
Cargo or Sprinter van
Enclosed protection for smaller, time-critical freight that fits the interior dimensions and payload.
Box or straight truck
Enclosed capacity for larger palletized freight, with dock and liftgate requirements confirmed before dispatch.
Flatbed or stakebed
Open-deck access for freight loaded from the side, top, or rear, including material and equipment.
Gooseneck or stepdeck
Versatile open-deck options for longer, taller, heavier, or specialized freight subject to route and equipment review.

A requested arrival time should account for freight readiness, loading, travel, legal operating limits, site access, unloading, and any appointment requirement. Tell dispatch which time is firm and which time is preferred.
Secure facilities may require TWIC, TSA credentials, full PPE, background clearance, or advance registration. HAZMAT and oversized freight need earlier review because documentation, qualified personnel, equipment, routing, permits, and site acceptance can affect the plan.
Common causes of preventable Hotshot delays
- Estimated dimensions or weights that change after dispatch.
- Freight that is not packaged or ready at the stated pickup time.
- A forklift, crane, dock, or receiving crew that was not confirmed.
- Missing pickup numbers, contacts, appointment details, or site instructions.
- Special handling or secure-site requirements disclosed after the truck is assigned.
What to send for a faster Hotshot quote
Freight
Piece count, exact length, width, height, total weight, individual piece weights, commodity, and photos when useful.
Locations
Full pickup and delivery addresses, facility hours, contacts, loading method, unloading method, and site restrictions.
Timing
Ready time, required pickup window, delivery deadline, appointment status, and whether the shipment can move after hours.
Special requirements
HAZMAT, TWIC, TSA, PPE, tarping, strapping, oversized dimensions, team service, or other handling needs.
